Business email is an email address set up on a company's own domain: ad@sirket.az instead of sirket@gmail.com. Such an address belongs to the company, not to the employee: when an employee changes, the correspondence and the address stay with the company. For customers and partners, it is one of the first signs that a company is serious.
Key takeaways:
- Business email needs two things: your own domain and an email service.
- There are three main routes: email included in a hosting plan, paid services such as Google Workspace or Microsoft 365, and cheaper alternatives.
- Addresses must belong to the company: the administrator account stays with management, and an employee is given only their own mailbox.
- To keep messages out of spam, four records must be set up correctly on the domain: MX, SPF, DKIM and DMARC.
- When moving the website to another hosting provider, the email settings must be left untouched, otherwise messages are lost.
What is business email?
Business email (corporate email) is an address with the company's own domain name written after the "@" sign. The difference from ordinary free email is who the address belongs to:
| Free personal email | Business email | |
|---|---|---|
| Example address | sirket.baku@gmail.com | info@sirket.az |
| Who owns it | The person who opened the account | The company (the domain owner) |
| When an employee leaves | The address and the correspondence go with them | The mailbox stays with the company, the password is changed |
| Trust | Anyone can open one | Only the domain owner can create one |
| Management | Everyone manages their own account | The administrator creates, closes and restores all mailboxes |
| Price | Free | Usually a monthly fee per user |
The term "business email" is also used in another sense: an address given to you by a university or an employer. The essence is the same: the address is on the organisation's domain and the organisation manages it.
What does business email give a business?
- Trust. A proposal or invoice that arrives from info@sirket.az is taken more seriously than one that comes from free email.
- Control. Customer correspondence is collected in the company's account. When an employee leaves, the mailbox is handed to someone else and no customer is lost.
- Security. The administrator can make two-factor authentication mandatory, recover a lost password and block a suspicious sign-in.
- Brand. Every message shows your domain name, that is, your website's address.
- Deliverability. Messages sent from a correctly configured domain land in spam less often.
Security is not a theoretical matter. According to a report by the US Federal Bureau of Investigation (FBI), losses reported to it in 2025 from fraud involving business email compromise exceeded $3 billion (FBI IC3). The usual scenario in these frauds is sending a fake message in the name of a company or a partner; properly configured business email makes this harder.
What do you need to set up business email?
- Domain. For example, sirket.az. The domain must be registered in the company's name; we explained the rules in the article what a domain is and how to buy one.
- Email service. The system where mailboxes are stored and messages are sent.
- Access to the domain settings. To connect email to the domain, you need to change DNS records. If you do not have this access, get it first.
You can set up business email without a website: a domain is enough. But usually both are set up together. Free website-builder plans, however, do not come with your own domain; we explained this in the article creating a free website.
Where can you set up business email?
There are three main routes:
| Route | How it works | Advantage | Limitation |
|---|---|---|---|
| Hosting plan email | Mailboxes that come with the website's hosting | No extra cost | Small capacity, weak spam filter, email may stop when the website goes down |
| Google Workspace or Microsoft 365 | The Gmail or Outlook interface with your own domain | Large capacity, security, calendar, documents, video meetings | Monthly fee per user |
| Other email services | Cheaper services focused on email only | Low price | Few additional tools |
Official prices of the services as of October 2026 (for one user, per month):
| Service and plan | Price | Mailbox size |
|---|---|---|
| Google Workspace Business Starter | $7 (with an annual commitment), $8.40 (without a commitment) | 30 GB |
| Google Workspace Business Standard | $14 (with an annual commitment), $16.80 (without a commitment) | 2 TB |
| Microsoft 365 Business Basic | $7 (billed annually) | 100 GB |
| Microsoft 365 Business Standard | $14 (billed annually) | 100 GB |
| Zoho Mail Lite | $1 (billed annually only) | 5 GB |
| Zoho Workplace Standard | $3 (billed annually), $4 (billed monthly) | 30 GB |
| Proton Mail Essentials | $6.99 (billed annually), $7.99 (billed monthly) | 15 GB |
Prices are shown in US dollars; depending on the country they may appear in another currency and with tax added, so check on the service's own page before paying. Do not rely on figures in older articles: for example, from 1 July 2026 Microsoft raised the Business Basic plan from $6 to $7 (Microsoft).
The number of mailboxes in hosting plans varies greatly by provider: for example, Smarthost's cheapest plan, at 4.5 AZN (manat) a month, includes 20 mailboxes, while hostinq.az's plan at 4.10 AZN a month includes 1 email account (Smarthost, hostinq.az). Mailbox size is not stated separately on these pages; ask before buying.
A rule for choosing: for a company of one or two people, hosting email can be a start. If employees correspond with customers every day, share documents and use a calendar, a separate service is more reliable, because email does not depend on how the website is running. We explained how to choose hosting in the article what hosting is.
How do you set up business email?
The steps are similar for all services:
- Choose a service and sign up. During sign-up you enter your domain name.
- Verify that the domain belongs to you. The service gives you a short piece of text (a TXT record); you add it to the domain's DNS settings.
- Create the users. A separate mailbox for each employee: ad.soyad@sirket.az. Shared addresses (info@, satis@) are set up as a group or alias.
- Change the MX records. This record shows which server messages should go to. The change takes effect within a few hours.
- Add the SPF, DKIM and DMARC records. They confirm that messages really come from you.
- Test it. Send a message from another address to yourself and from yourself to another address; check that it does not land in spam.
- Move the old correspondence. Important messages and contacts from the previous email are transferred to the new mailbox.
- Set up security. Two-factor authentication for all users, a separate strong password for the administrator account.
For Google Workspace, it looks like this: the domain is verified with a TXT record and, according to Google, this takes about 10 minutes; then a single MX record is added to the domain: smtp.google.com, priority 1. It can take up to 72 hours for the new record to be recognised everywhere (Google Workspace).
What are MX, SPF, DKIM and DMARC?
These four records are stored in the domain's DNS settings and make sure email works properly:
| Record | In simple terms | What happens without it |
|---|---|---|
| MX | Shows which server messages arriving for the domain should be delivered to | Messages do not reach you |
| SPF | A list of the servers that may send messages from your domain | Your messages may land in spam |
| DKIM | A digital signature attached to every message | The recipient cannot check that the message was not altered on the way |
| DMARC | States what to do with messages that fail the SPF and DKIM checks | Fraudsters can send messages in your name |
These are no longer recommendations but requirements. Under Google's rules, from 1 February 2024 anyone sending messages to Gmail addresses must set up at least SPF or DKIM; those who send more than 5,000 messages a day must set up all three and keep the spam complaint rate below 0.3% (Google). Yahoo applies similar rules (Yahoo).
In practice: if these records are not set up, the proposal you send to a customer may land in their "Spam" folder and you will not know about it.
How should a business email address be written?
Addresses should be written by the same rule across the whole company. The most commonly used formats:
| Format | Example | When it is suitable |
|---|---|---|
| firstname.surname@ | aysel.mammadova@sirket.az | The most widespread and clear format |
| firstname@ | aysel@sirket.az | Small team |
| initial.surname@ | a.mammadova@sirket.az | Large company, long names |
| job title or department | satis@, muhasibat@, hr@ | Shared addresses |
Rules:
- Latin letters. Addresses do not use ə, ö, ü, ş, ç, ğ, ı: "Şəbnəm" is written in an address as "shabnam" or "sebnem". Choose one rule within the company.
- Shared addresses should not be tied to a person. info@ and satis@ are forwarded to several people so that an enquiry is not lost when one of them is on leave.
- Use the same signature. Name, job title, phone, website: in the same format for all employees.
How do you sign in to business email?
The sign-in address depends on the service:
- Google Workspace: like ordinary Gmail, at mail.google.com or in the Gmail app, with the business address and password.
- Microsoft 365: at outlook.office.com or in the Outlook application.
- Hosting email: at the webmail address given by the provider.
Sign-in details are given out by the company's administrator or the person in charge of IT. If you have forgotten your password, the administrator recovers it too; for a university or workplace mailbox, you contact the organisation's IT department for this.
What are the most common mistakes when setting up business email?
- Setting up the domain and the administrator account in the name of an employee or contractor. When that person leaves, access to all email can be lost.
- Several people using one mailbox with the same password. It is not known who sent what, and the password spreads without control.
- Not setting up SPF, DKIM and DMARC. Messages land in spam.
- Deleting the MX records when moving the website. The website opens on the new server, while email stops.
- Leaving two-factor authentication switched off. One stolen password opens up all the correspondence.
- Deleting a departed employee's mailbox immediately. First forward the messages to someone else and keep the archive.
- Sending bulk advertising from business email. There are separate email marketing services for this; bulk sending from an ordinary mailbox damages the domain's reputation.
The domain and email question in Advertol projects
In Advertol's website projects, the domain is registered in the client's name and the hosting account also belongs to the client. For business email this is important: whoever holds the domain controls the email too. When a website is moved to a new server, the domain's existing email records must be checked in advance so that email does not stop; this is an item that must be on the checklist of every migration.
Advertol is an agency based in Baku: website and mobile app development, Meta and Google advertising, SMM, CRM and AI automation are handled by one team. If you want to plan a new website, domain and business addresses together, see how the website and app development service works.
Frequently asked questions
Can business email be free?
Partly. Most hosting plans include a certain number of mailboxes, so you do not pay for them separately. Some services also have free plans, but they are limited: for example, Zoho's free plan is for up to 5 users and is available only in selected regions. The domain itself, however, always costs money and is renewed every year.
Can I use Gmail with my own domain?
Yes, for this you need Google Workspace: the interface is ordinary Gmail, and the address is on your domain. It is a paid service, and a separate fee is paid for each user. With a free @gmail.com account you cannot set up an address on your own domain.
What happens to an employee's email when they leave?
The administrator changes the mailbox password, forwards incoming messages to another employee and keeps the archive. Even if customers keep writing to the old address, no message is lost. This is not possible with free personal email: the account belongs to the employee.
Will email be lost when I move the website to another hosting provider?
Not when it is done correctly. The risk is that during the move all of the domain's records are replaced and the email records (MX) are forgotten. If email is on a separate service, only the website's record needs to change. Before the move, make a list of the existing records.
How many addresses should I set up?
One personal address for each employee and a few shared addresses for the company: info@, satis@, muhasibat@. Shared addresses are usually set up not as a separate mailbox but as a group that forwards to several people, and need no extra cost.
Can I send bulk emails to customers from business email?
For ordinary business correspondence, yes; for mass advertising, no. Sending the same message to hundreds of addresses from an ordinary mailbox damages the domain's reputation, and your ordinary messages also start landing in spam. Separate email marketing services are used for this.
Conclusion
Business email is email that is set up on a company's own domain and belongs to the company. It needs a domain and an email service; a small team can start with hosting email, while for a company with a lot of daily correspondence a separate service is more reliable. Register the domain and open the administrator account in the company's name, set up the MX, SPF, DKIM and DMARC records and make two-factor authentication mandatory.
