AI automation in Baku, Azerbaijan: chatbots, AI agents and CRM

AI automation in Azerbaijan means running a business's repetitive processes — replying to enquiries, taking orders, logging data into a CRM, producing reports — without a human or with minimal supervision. Advertol in Baku builds AI chatbots for WhatsApp and Instagram, AI agents for business, custom CRM systems and business process automation; our own client panel AVA was built by this team. It is for companies whose sales and support teams are tired of answering the same questions every day.

What does business process automation include?

The work runs in four directions. First, communication: WhatsApp automation, an AI chatbot for Instagram DMs and your website; instant answers about prices, opening hours and availability, enquiry registration and handover to an operator when needed. Second, an AI agent: an assistant trained on your company's knowledge base, answering in context in three languages and able to complete a booking or an order. Third, a custom CRM: enquiries from every channel gathered in one panel, deal stages, tasks, reminders and sales reporting. Fourth, internal processes: document and report generation, integration between systems, approval flows. Every project connects to the tools you already use, such as telephony, accounting, Google Sheets and payment systems.

How is an AI chatbot or CRM project delivered?

It begins with a free 15-minute consultation: we find out which processes eat time, where enquiries come from and how the team works. Then we map the processes: every step, every decision point, every exception. From that map comes an individual proposal: what gets automated, what stays with people, which integrations are needed. Once approved, scenarios and the knowledge base are built and the bot or agent is tested on your real conversations. In a CRM project we first agree the sales funnel and fields, then build the panel and train the team. Launch is staged: one channel or department first, the rest once results are visible. During the first weeks we monitor the system together and make adjustments.

What determines the cost of AI automation?

Price is measured by the complexity of the process, not by the name of the technology. The key factors: number of channels, number of scenarios and exceptions, a simple rule-based bot versus an AI agent over a knowledge base, systems to integrate, languages, and for a CRM the number of users and modules. A solution on an existing platform costs less than custom-coded software, but when the process is non-standard a custom system pays off over time. Usage fees for messaging platforms and AI models are a separate cost. Advertol has no fixed packages or price list: after a free call and a process map you receive an individual proposal.

How are automation results measured?

The metrics are agreed before launch. For communication: first response time, the share of enquiries resolved fully without a human, and enquiries captured outside working hours. For sales: conversion from enquiry to deal, the number of unanswered enquiries and the number of conversations one manager can handle. For internal processes: hours saved per week and fewer errors. In the CRM all of these appear as a dashboard, and in the AVA client panel the flow of enquiries can be read side by side with ad results. In a monthly review we analyse the conversations the bot could not handle and extend the scenarios, because automation is a system that keeps learning, not a one-time setup.

Examples of automation projects in Baku

For Sea Breeze we automated 70 percent of digital processes with AI: enquiry intake, first reply, data entry into the system and reporting run without a human, while the team spends its time only on conversations that lead to a sale. For Momento Travel we developed a custom CRM: WhatsApp, Instagram and Facebook enquiries are gathered in one sales panel, each conversation shows its stage and owner, and no lead is lost. In both projects we built a system around the business's own process rather than an off-the-shelf product. Our client panel AVA was built with the same approach: live ad results, Instagram statistics and competitor analysis on one screen.

Frequently asked questions

Which platforms does the AI chatbot work on?
Instagram, WhatsApp, Telegram and your website — it responds wherever your customers write.
Which processes does automation cover?
Customer support, sales funnel, CRM, reporting and internal workflows — systems take over the repetitive manual work.
How long does setup take?
A standard chatbot goes live in a few days; complex systems with CRM integration take 2–4 weeks.
Can you integrate with my existing CRM?
Yes. We integrate with most CRMs and sales tools via API.
How long does it take to build a chatbot or a CRM?
The timeline depends on the complexity of the process and the number of channels and integrations: a simple single-channel bot and a multi-department CRM do not take the same time. The exact schedule is set out by stage in the proposal after the process map. Because launch is staged, you use the first working part before the whole project is finished.
What happens when the bot cannot answer a customer's question?
Every scenario has a handover point: when the bot is not confident, it passes the conversation to the responsible operator and creates a task in the CRM. The customer is not left waiting and no enquiry is lost. Such conversations are reviewed in the monthly analysis and the bot's knowledge base is extended.
Does the bot work in Azerbaijani, Russian and English?
Yes, the system detects the language the customer writes in and replies in the same language. The knowledge base and scenarios are prepared in all three languages so answer quality does not depend on language. The CRM interface is also set up in the language your team works in.
Who supports the system after launch, and who owns the data?
All conversations, the customer database and CRM data belong to you and can be exported at any time. During the first weeks after launch we monitor the system together, and technical support and development continue after that if you wish. The format and scope of support are stated in your individual proposal.
