What is Meta Business Suite? It is Meta's free tool for managing your Facebook Page and your Instagram account from a single dashboard: here you can schedule posts, reply to Messenger and Instagram Direct messages from one window, look at your statistics and run simple ads. You access it on a computer at business.facebook.com and on a phone through the "Meta Business Suite" app. It used to be called "Facebook Business Suite", so both names refer to the same product.
Key takeaways:
- What Business Suite is: a single workspace for Facebook and Instagram; its main sections are Inbox, Planner, Content, Insights and Ads.
- Business Suite is for day-to-day management, the business portfolio (formerly Business Manager) is for managing access and assets, and Ads Manager is for professional advertising.
- Setup takes three steps: adding your Facebook Page, connecting your Instagram professional account, and assigning roles to employees and your agency.
- Never share your password with anyone: give your agency Partner access and make two-factor authentication mandatory for all users.
- If you need the pixel, custom audiences and detailed optimisation, the Ads section is not enough; move to Ads Manager.
What is Meta Business Suite and why do you need it?
Meta Business Suite is a management dashboard that brings a business's daily work on Facebook and Instagram together in one place. Instead of switching between two apps, checking messages separately and manually publishing posts at the same hour, you see everything on one screen.
The left-hand menu usually contains these sections: Home (overview and to-dos), Notifications, Inbox, Content, Planner, Ads, Insights and All tools. Inside the last one you will find links to deeper tools such as Ads Manager, Events Manager, Commerce Manager, Billing and Business settings.
Two notes. First, Meta updates the interface frequently and menu names can differ slightly depending on the language, which is why this article uses the English names. Second, the tool is free: you only pay for your ad budget, and only if you run ads.
Business Suite, Business Manager and Ads Manager: what is the difference?
These are not alternatives to one another; they are three layers of the same system: the business portfolio is the "safe" for assets and access, Business Suite is the everyday desk, and Ads Manager is the professional tool for advertising. Meta now calls the old Business Manager a "business portfolio", but the old name is still widely used in the market.
| Tool | What it is for | Who needs it | Where to open it |
|---|---|---|---|
| Meta Business Suite | Post scheduling, messages, comments, statistics, simple ads | A business owner who runs the page personally, an SMM manager | business.facebook.com or the mobile app |
| Business portfolio (Business Manager) | Ownership of assets such as the Page, Instagram, ad account and pixel; access for people and partners | Any business that has employees, an agency or several assets | Settings, then Business settings |
| Ads Manager | Full control at campaign, ad set and ad level, audiences, tests, reporting | An advertising specialist, a business that advertises regularly | All tools → Ads Manager |
A simple rule: the person who handles content and communication spends most of the day in Business Suite, the person who handles advertising spends it in Ads Manager, and the manager goes into Business settings once a month to check who has access to what. We explain the advertising side separately in our article on how Ads Manager works.
How do you log in to Meta Business Suite?
You log in to Business Suite with your personal Facebook profile; no separate username and password are created. This means that the security of your access depends directly on the security of your personal profile.
- On a computer: open business.facebook.com in your browser and log in with your Facebook account. If you have several businesses, choose the portfolio and Page you need from the dropdown list in the top left.
- On a phone: download the "Meta Business Suite" app from the App Store or Google Play and log in with the same Facebook account. The app is convenient for replying to messages quickly, keeping track of notifications and posting Stories.
- From inside Facebook: when you switch into your Page, a "Meta Business Suite" link appears in the left-hand menu.
It is advisable to do the initial setup and role assignment on a computer, because not all the features of Business settings are available in the mobile app.
How to use Meta Business Suite: setting up your Page, Instagram and roles
Setup consists of three jobs: adding your Facebook Page to the business portfolio, connecting your Instagram account, and giving people the right level of access. To do this you need full control of that Page.
- Log in to business.facebook.com. If you do not have a business portfolio, the system will offer to create one: enter the name of the business, your own name and your work email, then follow the confirmation link sent to that email.
- Use the gear icon in the bottom left to open Settings, and from there open Business settings.
- In Accounts → Pages, click the Add button. If the Page is yours, choose the option to add an existing Page; if the Page sits in someone else's portfolio, send an access request (Request access).
- Check that your Instagram account is a professional account. In the Instagram app, go to Settings → Account type and tools → Switch to professional account and switch to the Business or Creator type.
- In Business settings, choose Accounts → Instagram accounts → Add, then log in with your Instagram username and password in the window that opens and confirm the connection.
- If you use WhatsApp Business, you can connect your number in Accounts → WhatsApp accounts; in that case WhatsApp conversations also appear in Inbox.
- Go to Users → People → Add (or Invite people) and enter the employee's work email. Choose the access level: full control only for the owner and one person you trust, partial access for everyone else.
- On the next screen, tick what the employee will do on which asset: content, messages and comments, ads, statistics. An SMM manager does not need access to the ad account's payment settings.
- If you work with an agency, choose Users → Partners → Add and enter the Business ID the agency gives you. Then select which permissions it will get on which Page, Instagram account and ad account.
Creating an ad account and linking a payment card is a separate process; we have shown it step by step in our article on how to set up a Facebook ad account.
Core features: how to use Inbox, Planner, Insights and Ads
Four sections are used most in day-to-day work: Inbox for messages, Planner and Content for posts, Insights for numbers, and Ads for quick advertising.
Inbox: all messages in one window
Inbox shows Messenger, Instagram Direct and, if connected, WhatsApp Business conversations, as well as Facebook and Instagram comments, all in one place. You can separate the channels using the tabs at the top, add a label to a conversation, assign it to a specific employee (Assign) and mark it as "Done" when the job is finished.
For automation, open the Automations button at the top of Inbox. The three most useful rules are these:
- Instant reply: a greeting message that goes out immediately to someone writing for the first time.
- Away message: an out-of-hours notice along the lines of "we will reply from 10:00 tomorrow".
- Frequently asked questions and saved replies: ready-made answers, sent with one click, to recurring questions such as price, address and opening hours.
These rules are enough for simple scenarios. If you need a system that understands the enquiry and answers it, collects information and writes it to a CRM, that is already chatbot territory, and it is explained in our article on how Instagram DM automation works.
Planner: scheduling posts, Stories and Reels
- Open the Planner section from the left-hand menu; a weekly or monthly calendar will appear.
- Hover over the day you need and click Schedule, or click the Create button at the top, then choose the type: Post, Story or Reel.
- Tick the places the post will go to: the Facebook Page, the Instagram account, or both.
- Write the copy and upload the image or video. You have the option of adapting the copy separately for Facebook and for Instagram.
- Choose Schedule and set the date and time. The system also shows a suggested time based on when your followers are active.
- You can see and edit all scheduled, draft and published materials as a list in the Content section.
Planner is only a tool; you can decide what to schedule with the ready-made template in our article showing how to create a content plan.
Insights: what works and what doesn't
The Insights section shows reach, follower growth, the age, gender and cities of your audience for Facebook and Instagram, as well as the individual metrics of each post. In the Content tab, sort posts by reach, reactions or saves: comparing the three best and the three weakest posts gives you enough ideas for next month's plan. You can also export the data (Export) for reporting.
Ads: quick advertising
In the Ads section, the Create ad button opens a simplified ad builder: you choose the goal (for example, more messages, traffic to your website or boosting a post) and set the audience, budget and duration. This is somewhat broader than the "Boost" button on Instagram, but considerably narrower than what Ads Manager offers.
How do you protect the account? Security and roles
The basic rule is this: passwords are not shared, roles are assigned. Most cases of lost Pages begin not with hacking, but with a password being given to an employee or contractor, followed by a parting of ways with that person.
- Make two-factor authentication (2FA) mandatory. In Business settings → Security Center, turn on the setting that requires two-factor authentication from all users. On your own profile, using an authenticator app instead of SMS is more reliable.
- Keep at least two admins with full control. If a sole admin loses access to their profile, all the business assets become unreachable. The second admin should be someone you trust, for example a business partner or a family member.
- The principle of least access. Give everyone only the permission they need for their job. The content manager should not see payment settings, and the advertising specialist should not see user management.
- Partner access for the agency, not a password. The agency connects to your assets with its own business portfolio, while ownership stays with you. When the cooperation ends, you remove the access with one click.
- Assets should be in the name of the business. The Page, Instagram, ad account and pixel should be created in your portfolio, not in the contractor's portfolio.
- Audit once a quarter. Look through the Users → People and Partners lists and remove employees who have left and former contractors.
- Do not trust fake "Meta Support" messages. Messages along the lines of "Your Page will be closed, follow the link" are phishing. Real warnings appear only in Business Suite's own notifications and in the Account Quality section.
Common problems and how to solve them
Most problems arise for three reasons: a missing permission, an asset being tied to another portfolio, or a breach of the advertising policies. The table below gives a general direction; for a specific case, the final word always rests with Meta's own support.
| Problem | Likely cause | What to do |
|---|---|---|
| The Instagram account will not connect | The account is not professional; you do not have full control of the Page; Instagram is already connected to another portfolio | Switch the account to the Business or Creator type, check your role on the Page, have the old connection removed from that portfolio, then Add it again |
| Instagram messages do not appear in Inbox | Access to messages is switched off in Instagram | In the Instagram app's message settings, turn on the permission that lets connected tools access messages (Allow access to messages) |
| Admin access is lost | The sole admin has lost their profile, or a former contractor has removed you | Have another admin add you again; if there is no admin, apply through Meta Business Help Center with documents proving ownership |
| The ad account is restricted | A breach of advertising policies, a payment problem or suspicious activity | Read the reason in All tools → Account Quality, fix it and send a Request review; do not try to get around the restriction by opening a new account |
| A scheduled post was not published | The Instagram connection has broken or the password has changed | Look at the error note in the Content section, reconnect Instagram and schedule the post again |
| An employee cannot see the Page | The invitation has not been accepted or no asset has been assigned | Check the status in Users → People and assign the employee a specific asset and permission |
For official guidance and support, use the Meta Business Help Center. Be patient with access and ownership issues: these processes sometimes take days, so the best solution is to set up a second admin and 2FA in advance.
When is Business Suite not enough and you need Ads Manager?
If you spend a small amount on ads once or twice a month, the Ads section will do; if advertising is your main source of customers, you need to move to Ads Manager. Ads Manager is essential in these cases:
- you want to test several audiences and creatives in parallel within one campaign;
- you have installed Meta Pixel on your website and optimise for sales or lead events;
- you work with Custom and Lookalike audiences and with retargeting;
- you build campaigns with a lead form (Instant Form), a catalogue, or ones that send people to WhatsApp;
- you analyse results broken down by placement, age, gender and creative.
The difference shows in the numbers. In Advertol's iMobile project, professional ad management brought the cost of one conversation down from 2 dollars (USD) to 0.10 dollars, and ad efficiency increased 20-fold. Optimisation on this scale requires the capabilities of Ads Manager; the "Boost" button does not make it possible.
When the volume of messages grows, Inbox can become too small as well. In such cases a custom CRM solution is built: in the system Advertol developed for Momento Travel, WhatsApp, Instagram and Facebook enquiries are gathered into a single sales dashboard.
Frequently asked questions
Is Meta Business Suite free?
Yes, the tool itself is completely free and there is no subscription fee. Only if you run ads is the ad budget you choose charged to your bank card. No payment is required for post scheduling, Inbox, Insights or automated replies.
Are Business Suite and Business Manager the same thing?
No. Business Suite is the everyday work dashboard: posts, messages, statistics. Business Manager, now called the business portfolio, is the layer that manages ownership of assets and people's access, and it is opened from inside Business Suite via Settings → Business settings. In practice the two work together.
Can you connect a personal Instagram account to Business Suite?
For full functionality the Instagram account must be professional, that is, of the Business or Creator type. Switching is free and takes a few seconds in the Instagram app's settings. With a personal account, the scheduling, Insights and Inbox features are not available.
How do you give an agency access to your Page the right way?
In Business settings, add the agency's Business ID under Users → Partners and assign the assets it needs with specific permissions. A password, personal profile login or verification codes should never be shared. With this method ownership stays with you, and you can remove the access immediately when the cooperation ends.
Can you schedule TikTok or LinkedIn posts in Business Suite?
No, Meta Business Suite works only with Meta platforms: Facebook, Instagram, Messenger and, if connected, WhatsApp Business. For TikTok and LinkedIn you use those platforms' own scheduling features or third-party tools. It is still convenient, though, to keep your overall content plan in a single table.
Does the mobile app fully replace the desktop version?
For day-to-day work, yes: messages, comments, notifications, Stories and simple scheduling work comfortably in the app. For user roles, partner access, Security Center and detailed statistics, however, you need the desktop version. The best practice is to do the setup on a computer and run the daily work on your phone.
Conclusion
In 2026 Meta Business Suite is still the simplest, free way to manage Facebook and Instagram from one place. Connect your Page and your Instagram professional account, give employees and your agency roles rather than passwords, make 2FA mandatory and appoint a second admin. For day-to-day work, Inbox, Planner and Insights are enough; when advertising becomes your main sales channel, move to Ads Manager.
If you are stuck with the setup, or want to be sure your accounts are configured securely and correctly, write to the Advertol team. For those who want to hand over page management and advertising entirely, the way we work is described on our SMM service page.
